Q: Who sets up the system initially?
A: The first invited person becomes the initial administrator. This person is
responsible for configuring the system before inviting additional users.
Q: Who is responsible for reviewing expenses?
A: Expenses requiring approval are routed to Expense Managers, who can
approve, reject, split, or edit expenses.
Q: What are the standard rejection reasons for expenses?
A: Rejection reasons include missing information and personal expense.
Q: Can expenses be modified during the review process?
A: Yes. Expense Managers can edit categories, cost codes, and other details
before approving.
Q: Can a split expense be undone once submitted?
A: No. After submission, splits cannot be reversed.
Q: What happens to outstanding expenses if a user is deactivated?
A: Outstanding expenses remain visible and can be completed by an Expense
Manager.
Q: What are the different expense statuses?
A:
Pending: Awaiting settlement or enrichment.
Needs review: Awaiting Expense Manager approval.
Ready for accounting: Approved and ready for export.
Exported: Exported out of the system.
Q: How do employees enrich an expense?
A: Employees add receipts (photo, upload, or PDF), select the team, category and
cost codes, add comments if required, and submit the expense for approval.
Q: What happens to outstanding expenses if a user is deactivated?
A: Outstanding expenses remain visible and can be completed by an Expense
Manager.
Q: What are card programs?
A: Card programs define rules such as spend limits, spend periods (monthly, yearly,
or forever), allowed countries, and allowed spending categories.
Q: Can I create custom card programs?
A: Yes. You can create programs with specific controls and set one as the default.
Q: Can employees enrich expenses through the web portal?
A: Yes, employees can enrich expenses through the web portal. They will only have
access to the “My Expenses” section, where they can view and update their own
expenses.
Mobile App
Q: What can I do in the mobile app?
A: You can request virtual cards, activate physical cards, add cards to Google Wallet
or Apple Wallet, enrich expenses, and view transaction history.
Q: How do I activate a physical card?
A: Once received, activate it in the app using the last four digits of the card number.
Q: How do I request a virtual card?
A: You can request one in the app by entering the amount and purpose. After
approval, the card is instantly available for use.
Q: Can I track my spend limits in the app?
A: Yes, the app shows how much of your spend limit is available across all cards.
Q: How do I add receipts to an expense?
A: You can snap a photo, upload from your phone, or share a PDF directly from your
email to the app.
Q: Can I view past transactions in the app?
A: Absolutely. The app provides a full transaction history for all cards linked to your
account.
